Why It Happens
1. Transfer Order Not Confirmed Stock moved. Worker walked away. Done or so they thought. But SAP EWM did not get the memo. Nobody confirmed the Transfer Order. So the system? It still thinks the stock is sitting in the old location. Your floor says one thing. Your system says another. And that gap that is where the problem lives.
2. RF / Mobile Device Scanning Errors One wrong scan. That is it. One rushed moment wrong bin, double scan and SAP quietly posts it. No alarm. No red flag. Nothing. By the time someone catches it, that one scan has already created a mess across multiple locations.
3. Handling Unit Not Updated After Repacking Boxes get split. Quantities change. Labels get replaced. All of that happens on the floor — but SAP EWM has no idea. The Handling Unit still shows the original pack, original quantity. What is physically on your shelf and what SAP is showing completely different story.
4. Goods Movement Posting Delay Stock is sitting right there on your floor. Real. Physical. You can touch it. But SAP? Still blind. Because the posting happened three hours later sometimes next morning. Every decision made in that window is built on wrong numbers. And wrong numbers have a cost.
5. EWM and S/4HANA Out of Sync Your warehouse team says 500 units. Finance pulls the S/4HANA report 480 units. Same company. Same SAP. Different numbers. And the worst part? Nobody can tell you with confidence which one is actually right.
When the Numbers Never Match — A Real Problem, A Real Fix
The Problem Was Real And It Was Costing Them Every Single Day
There is a manufacturing plant in Texas. Industrial equipment serious operation, serious volumes. They had SAP
EWM running. Connected to S/4HANA. Setup looked solid on paper.
But the floor told a different story.
Every physical count — mismatch. Every single time. Their warehouse manager was pulling his hair out running recount after recount. The operations team was shipping based on stock that was not actually there. Finance kept raising flags. Customer orders were getting delayed because SAP showed availability — but the shelf was empty.
They went internal first. IT team investigated. Poked around the system. Found nothing major. But the problem did not care. It came back the next month. Same issue. Different numbers.
They were losing money. They were losing time. And honestly they were losing confidence in their own system.
That is when they called SCM Champs.
SCM Champs Team Arrives at the Texas Plant
No assumptions. No remote calls. The SCM Champs team showed up physically at the plant.
They walked the floor. Watched how Transfer Orders were being handled. Stood next to workers using RF devices. Visited the repacking area. Observed goods coming in at the dock.
Then they sat down and opened SAP EWM.
What they found was not one problem. It was five problems all running at the same time, silently destroying inventory accuracy every single day.
What SCM Champs Found and What They Fixed — Step by Step
Step 1 — Warehouse Task Confirmation Process Was Broken
Workers were moving stock. Physically done. But the Warehouse Task in SAP EWM never confirmed. Shifts were closing with hundreds of open WTs sitting in the system. Nobody was checking. Nobody was flagging it.
What SCM Champs Did:
Ran a full audit of all open and incomplete Warehouse Tasks in EWM using Warehouse Monitor /SCWM/MON identified hundreds of unconfirmed WTs sitting in the system
Configured mandatory WT confirmation in EWM warehouse process settings system now blocks next movement until current WT is confirmed
Set up EWM exception handling alerts any WT open beyond defined time threshold immediately triggers a notification to the supervisor
Trained warehouse team on proper WT confirmation steps on RF devices step by step, on the actual floor
Step 2 — RF Device Scanning Errors Were Never Being Caught
Errors were happening every single day. Wrong bins confirmed. Wrong HUs picked. And SAP was accepting all of it no validation, no rejection, nothing. The system was trusting every scan blindly.
What SCM Champs Did:
Activated bin verification step in EWM RF framework worker must now physically scan the bin label before confirming system cross checks and rejects if it does not match
Configured quantity verification prompt on RF screen worker must confirm quantity before posting
Enabled EWM system-guided warehouse tasks SAP now directs the worker to exact bin with exact quantity human decision removed from the equation
Reviewed and corrected RF queue configuration in EWM to ensure tasks are assigned to correct work centers
Step 3 — Handling Unit Data Was Never Being Maintained After Repacking
The team walked into the repacking area and saw it immediately. Goods being repacked, boxes changing, quantities shifting all happening on the floor. But not one update made in SAP EWM. The system was completely blind to everything happening in that area.
What SCM Champs Did:
Implemented proper HU repacking process in EWM using transaction /SCWM/PACK every repack must now be completed in SAP before goods move forward
Configured packing station integration in EWM system now requires HU update as a mandatory step in the warehouse process
Created a step by step SOP for the repacking team exactly what to do in SAP before, during, and after every repack
Set up HU content verification at goods issue stage system checks HU contents match delivery before allowing shipment to proceed
Step 4 — Goods Movement Posting Delays Were Creating Blind Windows
Goods arriving at the dock. Being moved to storage. But SAP posting — happening hours later. Sometimes next morning. That gap was the problem. Stock was physically there but invisible to anyone checking the system.
What SCM Champs Did:
Redesigned the goods receipt process flow in EWM posting now happens at the dock door the moment goods arrive using Expected Goods Receipt (EGR) / Inbound Delivery process
Configured EWM Delivery Monitor /SCWM/MON for real time visibility of inbound deliveries — warehouse supervisor can see exactly what is arriving before the truck even unloads
Activated immediate Warehouse Task creation upon goods receipt posting no manual step required, system triggers automatically
Set a strict operational rule with management — no physical movement without SAP posting. Period.
Step 5 — EWM and S/4HANA Stock Reconciliation Was Failing Silently
This was the most critical finding. The SCM Champs team ran a stock comparison between EWM and S/4HANA — and found significant quantity differences sitting unresolved for weeks. Integration errors were firing in the background. Nobody was watching them.
What SCM Champs Did:
Ran full EWM to S/4HANA stock reconciliation using Warehouse Monitor /SCWM/MON and standard ERP stock reports — identified all mismatched stock records between warehouse management and inventory management
Used standard EWM reconciliation tools via /SCWM/MON / ERP_STOCKCHECK to realign quantities between both systems where differences were physically verified
Fixed integration errors in the qRFC queue outbound and inbound queues had stuck entries preventing stock movements from posting correctly to S/4HANA
Set up daily automated reconciliation checks system now runs comparison regularly and flags any difference above defined tolerance directly to the team
Configured proper EWM stock type mapping quality inspection stock, blocked stock, and restricted stock now correctly reflect in both EWM and S/4HANA with no ambiguity
What Changed After SCM Champs Left
The transformation was visible within weeks.
Physical count started matching SAP — first time in over two years
Zero unconfirmed Warehouse Tasks at end of each shift
RF scanning errors dropped to near zero because system now validates every single scan
Goods receipt to SAP posting time came down from hours to minutes
EWM and S/4HANA showing identical stock figures — every single day
Customer order fulfilment improved because stock availability was now real and reliable
Finance team signed off on inventory valuation with full confidence for the first time
The warehouse manager said something simple after the project closed:
“We always thought it was a people problem. It was never a people problem. It was a process and configuration problem. And now it is fixed.”
SCM Champs — We Have Done This Before. We Can Do It For You.
Look — this was not a one time project for us. This is what we do. Every day.
We are an officially SAP certified partner accredited by SAP to deploy, configure, and implement SAP Extended Warehouse Management. We did not learn EWM from a course. We learned it in warehouses — real ones, with real pressure, real deadlines, and real consequences when things go wrong. SAP recognized us as an official implementation partner and system integrator — one of the best in North America. That kind of recognition does not come from passing a test. It comes from delivering results that actually stick.
We have been on floors like yours. Manufacturing plants. Distribution centers. Third party logistics operations. We have seen every version of this problem — and honestly, we have never walked away without fixing it permanently.
When our team shows up at your facility we are not figuring things out as we go. We are bringing certified SAP EWM expertise, a proven methodology, and the kind of hands on experience that most partners simply do not have.
If your physical count is not matching SAP EWM the problem is real. The fix exists. And we know exactly how to get you there.
