A yard management solution is the software and process that controls what happens between your gate and your dock. Who checks in, where each trailer parks, when it moves and which door it goes to. If trucks are backing up at the gate, your yard drivers keep hunting for trailers, or the detention charges on your carrier invoices keep creeping up, it's worth a look.
You may not need new software, though. A lot of yard problems come down to process, and those can be fixed fairly cheaply. Bigger or busier yards usually do need a yard management system (YMS). And if your warehouses already run on SAP EWM or SAP TM, SAP Yard Logistics tends to be the most practical option.
We wrote this for supply chain, logistics and operations leaders in the US who are trying to figure out what to do about their yard. We'll go through the warning signs, the options you have, what drives cost, what to ask vendors, and how we at SCM Champs help with SAP Yard Logistics projects.
Yard problems rarely show up all at once. It's more of a steady drip of small delays and extra charges. These are the ones we hear about most, so count how many apply to you.
If you counted three or more, your yard is probably costing you more than it shows on paper. A short yard assessment is a good place to start.
Not always. Before buying anything, try a few basic fixes first:
None of this costs much, and it can take real pressure off a busy yard. If you're already on SAP, it's also worth checking what your current system can do before you pay for anything new.
Process fixes only take you so far, though. Once you're dealing with a lot of trucks a day, several sites or live trailer tracking, or you need to show exactly where detention costs come from, the whiteboard and the spreadsheet can't keep up. That's usually when a yard management system starts paying for itself.
Here's a quick side-by-side.
| Process fixes only | Standalone YMS | SAP Yard Logistics | |
|---|---|---|---|
| What it is | Better rules, appointments and gate steps | Separate yard software, often cloud-based | SAP's own yard solution, part of the SAP supply chain family |
| Effort | Low | Medium | Medium to high |
| Cost level | Low | Medium, often a subscription | Depends on your SAP licenses and project scope |
| Works with SAP | Manually | Needs interfaces to SAP EWM, TM and ERP | Built to work with SAP EWM, SAP TM and S/4HANA |
| Live yard visibility | Limited | Yes | Yes |
| Best for | Small yards with simple flows | Non-SAP companies or quick single-site setups | Companies already on SAP EWM, TM or S/4HANA |
Which one is right depends on your yard. If you only see a handful of trucks a day, better processes might be all you need. If your warehouses already run on SAP EWM, SAP Yard Logistics will usually serve you better than a separate tool that you then have to connect and keep running.
SAP Yard Logistics (SAP YL) is SAP's own yard management solution. It handles gate check-in and check-out, yard moves, parking and staging, dock and door assignment, and gives you a live view of the yard. It can also bill for yard services, which 3PLs and terminal operators find useful.
It usually makes the most sense if:
If you don't use SAP at all, a standalone YMS is probably simpler. For SAP customers it's usually the other way round, since keeping the yard inside SAP means fewer interfaces to build and fewer chances for data to get out of sync.
There's no standard price list, because every yard is different. What mostly drives the cost:
You'll also need a business case to get it approved. The easiest way to build one is to measure where you are today, so you can show the improvement later. These are the yard KPIs most leadership teams ask about:
A few weeks of baseline data makes the ROI talk a lot easier. We'd usually start with detention charges, because that number is already sitting on your carrier invoices.
Manufacturing. A late or missing trailer can stop a production line. Tying the yard to the production schedule means inbound parts get to the right dock on time.
Retail and distribution. Promotions and peak season bring big jumps in truck traffic, and that's exactly when store replenishment can't slip. Good dock scheduling is what holds it together.
3PLs and logistics providers. The big win here is getting more trucks through the same yard without adding space. Many 3PLs also like being able to show their clients live yard status.
Automotive. Just-in-time production doesn't leave much slack. High-value trailers need accurate tracking, because a delay in the yard can quickly turn into a line stop.
Food and beverage. Reefers need watching, FIFO matters, and auditors will want clean records.
These work with any vendor or implementation partner you're talking to.
If you don't get clear answers, that tells you something too.
SCM Champs is an SAP partner that only does supply chain and logistics work. We work on SAP Yard Logistics together with SAP EWM and SAP TM, so for us the yard is one piece of the whole flow, from the truck arriving to the shipment leaving. Our consultants are certified across SAP IBP, EWM, TM and MM and have more than 8 years of hands-on supply chain experience on average.
We don't start by pitching software. First we spend time on how your yard actually runs: the gate check-in, trailer moves, dock scheduling, how much of the yard you can really see, where the detention charges come from and which steps are still done by hand. After that we'll tell you plainly what we think you need. Sometimes it's SAP Yard Logistics, sometimes another tool, and sometimes just a few process changes.
Every yard works a bit differently. We map your yard processes to SAP Yard Logistics based on how complex the site is, what the business needs and how your SAP landscape is set up today. A plant with one gate and a multi-site distribution network need very different setups.
SAP YL is at its best when it's connected to the rest of SAP. We set up the links with SAP EWM for doors and deliveries, with SAP TM for freight orders and carriers, and with S/4HANA for your core data. Then the warehouse, the transport team and the yard are all looking at the same picture.
What you want is one clean flow from the moment a truck shows up to the moment it drives out: gate check-in, trailer moves, staging, dock assignment, loading or unloading, and departure. Once those steps are connected, trucks wait less and your yard team spends a lot less time on the radio.
After go-live you should be able to see what's going on in the yard from a screen, without walking it. We set up live yard visibility and reports on the KPIs that matter to you, like truck turnaround time, dwell time, detention, dock utilization and where each trailer is. Your team can use that every day to run the yard.
We handle configuration, integration, testing and go-live, and our team is there with yours when you go live. You get 12 months of support after that as standard. If you'd like ongoing help after the first year, we can support your SAP Yard Logistics system through our SAP managed services.
Want to know where your yard stands? Talk to our SAP Yard Logistics team about a yard assessment. We'll go through your gate-to-dock flow with you, point out a few quick wins and give you our honest view on which option fits your operation.
A WMS (warehouse management system) handles what goes on inside the building: putaway, picking, stock. A YMS (yard management system) handles what happens outside it, like trucks at the gate, trailers in the yard and moves to the dock. You get the most out of both when they share data.
SAP EWM does have some basic yard functions, like check-in and yard moves for transport units. If your yard is busy or complicated, SAP Yard Logistics goes a lot further, with full gate and parking control, yard monitoring and billing for yard services.
Yes. It's actually one of the main reasons companies buy one. Once you can see every trailer, plan dock times and track how long each one has been waiting, you can bring the right trailers in first. You also have real data when you need to push back on a carrier's charges.
It depends on how many sites you have, what needs to be integrated and how much the process has to change. One site with standard processes is a lot quicker than a multi-site rollout with RFID and several connected systems. The best way to get a realistic timeline for your yard is an assessment.
The ones most teams track are truck turnaround time, dwell time, gate wait time, dock utilization, yard moves per hour, and detention and demurrage charges.
Yes. 3PLs use it to run yards for several clients, give those clients a view of yard status and bill them for yard services.
The yard tends to get ignored until it starts causing problems. By then it's already showing up as waiting time, detention charges and shipments that go out late.
A good first step is to go through the signs above and start measuring where you are. After that, pick the option that suits your size and your systems. If you're on SAP and want to know whether SAP Yard Logistics is a good fit, we're happy to take a look with you.
