Bring Transportation Planning, Execution & Costs Under Control with SAP TM

Transportation is where a lot of supply chain cost and effort sits. There is a lot that has to happen to move a shipment. Loads need to be planned, carriers need to be lined up, trucks need to arrive on time &  final freight bill needs to match what was agreed. When teams are doing all of this across spreadsheets and different tools, even a normal shipment can turn into a lot of back and forth.

SCM Champs helps enterprises bring these processes into SAP Transportation Management. We support the full journey from first assessment through to go-live & long term support.

As an SAP TM implementation company we handle consulting, implementation, integration, migration, optimization & ongoing support.

Where does SAP TM actually make a difference for your business?

Most transportation problems do not start with the software. Most of these problems have built up over time. Different processes were introduced to get the work done, but they were never properly connected. That is where we usually see things start to go wrong.

Transportation costs are hard to control as shipping gets more complex. More lanes, more carriers and more shipment types make it difficult to see where money is actually going.

Planning still depends on manual work. Planners often build loads and routes using spreadsheets, phone calls and email, which takes time and leaves room for mistakes.

Carrier selection and tendering are spread across teams and tools. Rates are kept in one place, carrier details in another, and confirmations somewhere else. So when someone needs to check what was agreed, they have to piece it all together.

Shipment visibility comes too late. Teams find out about delays after the customer has already noticed, which leaves very little time to react.

Freight charges and settlement are complicated. Base rates, fuel surcharges, tolls, accessorials and detention charges all have to be checked, and matching invoices to what was agreed takes real effort.

Transportation and warehouse work in separate worlds. The warehouse may not know when the truck is going to show up, and the transportation team may not know when the load is going to be ready. When the two sides have different information, delays are easy to happen.

Legacy systems struggle to grow with the business. An older transportation management system (TMS), or a setup built around spreadsheets and add-on tools, works fine for a few sites and a few carriers. It starts to break when volumes, locations, carriers and transport modes increase.

SAP TM brings these steps into one connected environment. Orders are turned into transportation demand, then loads and routes are planned, carriers are selected and tendered, and freight costs are worked out and settled against the rates that were agreed.

SAP TM or Standalone TMS? Which One is Right for Your Enterprise?

This is often the first question enterprises ask. The honest answer depends on your landscape.

When your business already runs on SAP, SAP TM has a natural advantage. Your sales orders, deliveries, warehouse activity and freight postings are already sitting in the same SAP landscape. So the transportation team can use the data that is already there instead of having to maintain another version of it somewhere else. You avoid building and maintaining a separate integration layer, and cost flows into finance without a second reconciliation step.

A specialist standalone TMS can still make more sense in certain situations. For example, if transportation is a core part of your business, your IT landscape is mainly non-SAP, or you need very specific features for the carrier market you operate in, a dedicated TMS may be a better fit.

Our view is simple. The system should follow the process, not the other way round. If SAP TM is not the right answer for your situation, we would rather tell you that during the assessment than three months into a project.

How SCM Champs works through this decision. We look at four things: how much of your landscape already runs on SAP, your transportation volume and how complex your lanes are, whether transportation is a supporting function or part of what you sell, and what your S/4HANA plans look like. That comparison happens in the assessment, before anyone talks about scope or cost. If a standalone TMS is the better answer, we say so.

Will SAP TM fit how we work today, or do we have to change our processes?

This is the question most transportation teams worry about, and the answer is usually somewhere in the middle.

SAP TM covers the standard transportation process well. Planning, carrier selection, tendering, execution, freight costing and settlement all work out of the box. For most of what your team does every day, the system already has a way to do it.

Where it gets interesting is the parts that are specific to your business. A particular way of grouping loads, a rate structure a customer insists on, a document your carriers expect. Some of these are real requirements and we build for them. Others are habits left over from an old system, and those are worth letting go.

The way we work through this is a fit-to-standard approach. We show your team how the process runs in standard SAP TM first. Then we look at what does not fit & decide together what is a genuine gap and what is just unfamiliar. Anything that does need building we build following SAP clean core principles so your upgrades stay straightforward later.

So the honest answer is that some processes will change. Usually fewer than people expect, and usually the ones nobody liked anyway.

What does an SAP TM implementation involve?

SAP TM implementation involves much more than configuring the system. It includes data migration, development, testing, training and getting the solution ready for deployment across the agreed transportation processes.

We set up the master data, planning rules, carrier selection methods and charge structures around the way your business actually manages transportation. Testing and user training are also part of the process, so your team has a chance to work through the new processes before go-live.

One decision shapes the whole project. SAP TM can be deployed within SAP S/4HANA as embedded Transportation Management or run as a standalone SAP TM system.Which option makes sense depends on your transportation volume how complex your processes are & what your current SAP landscape looks like. We work through this before any build work begins, because it changes the build effort the integration work and the timeline.

The aim is not simply to get SAP TM running. It is to have a transportation system that supports the way your teams work day to day.

Our SAP TM Implementation Approach

Assess. We review your current transportation processes, systems and data to understand what works, what does not, and what the project needs to deliver.

Design. We create the solution design covering planning rules, carrier selection strategy, charge structures, integration points and the overall SAP TM scope.

Configure. We build the system to match the agreed design, including master data setup, configuration and any development work that is needed.

Integrate & Test. We connect SAP TM to your other systems and run functional, integration and user testing to confirm the whole process works end to end.

Deploy. We prepare the business for go-live through training, cutover planning and final readiness checks, then move the system into live use.

Optimize & Support. We stay involved after go-live with monitoring, issue resolution and continuous improvement as your transportation needs change.

What will your team need to do during an SAP TM implementation?

An SAP TM implementation is not something a consulting team can do on its own. Your people know how transportation works in your business. That knowledge has to come into the project, or the system gets built on guesswork.

Here is what we ask for, and what we handle.

Process owners. We need people from transportation planning, dispatch and freight settlement in the design workshops. They tell us how the work is done today and where it breaks. This is a few sessions over several weeks, not a full-time job. SCM Champs runs the workshops and writes up the design.

Master data. Locations, business partners, transportation lanes, resources and rate tables have to be correct before anything can be tested. Only your team knows which carrier records are still valid and which rates are out of date. SCM Champs gives you the list and checks the data as it comes in. The cleanup itself sits with your side.

Testing. Your users test the system with real shipments they recognize, not a demo. We prepare the test scripts and sit with your team while they work through them.

Training time. Planners and dispatchers need hours away from normal work to learn the system. This gets underestimated on almost every SAP TM project. We build the material and run the sessions, but the time has to be planned into your schedule.

The heavy lifting is ours. Master data and user time are the two things we cannot do for you, and they decide whether the SAP TM implementation stays on schedule.

What does an SAP TM implementation cost?

Cost follows scope. These are the things that set the range:

  • How many sites, plants and legal entities are included
  • Whether you run embedded TM or standalone SAP TM
  • How many functional areas are in scope, and whether freight settlement is one of them
  • How many integrations are needed, to EWM, finance, carriers and 3PL systems
  • How much custom development the design calls for
  • Whether it is a fresh implementation or a migration off a legacy TMS

Licensing is separate and depends on your SAP agreement. Support and AMS are usually handled as a separate ongoing arrangement rather than part of the implementation.

We prepare an estimate after the assessment, based on your actual scope rather than a standard package.

How long does an SAP TM implementation take?

The timeline follows the same drivers as cost, plus one more that catches most projects out.

Scope. Planning and execution at one site is a very different project from planning, execution, freight costing and settlement across a distribution network.

Deployment model. Embedded versus standalone changes the build and integration effort.

Integration count. Each connection to EWM, finance, a carrier or a 3PL system adds design, build and testing work.

Fresh build or migration. Moving off a legacy transportation system brings data mapping and process redesign that a greenfield project does not have.

The state of your master data. Locations, business partners, transportation lanes and rate data often need cleanup. This is the single most common reason SAP TM projects slip, and it is usually discovered late.

We give an indicative timeline during the assessment, once the scope is clear. We would rather give you a number we can stand behind than a number that looks good on a website.

What can go wrong in an SAP TM implementation?

Most problems in an SAP TM project are not technical. They show up in the same few places, and they are easier to handle when everyone knows about them at the start.

Master data that is not ready. The most common reason an SAP TM implementation slips. Old carrier records, missing transportation lanes, rate tables nobody has updated in years. The build looks fine until testing starts. We check master data during the assessment, before the timeline is agreed.

Scope that keeps growing. A project starts with transportation planning and execution. Then freight settlement gets added. Then another site. Then a carrier integration nobody planned for. We agree the scope in writing during design and handle anything new as a separate phase, so the first go-live still happens.

Too much custom development. Teams often want new system to work exactly like the old one. Some of that is fair a lot of it is habit. Every custom object adds cost now and makes upgrades harder later. We start from standard SAP TM and build custom only when there is a real business reason.

Users who are not ready. The system can be built correctly and still fail if planners go back to their spreadsheets. We involve planners and dispatchers from the design stage, so they have used the system long before go-live.

Integration tested too late. SAP TM connects to S/4HANA, EWM, finance and carrier systems. If these are left until the final weeks, problems surface at the worst time. We test SAP TM integration alongside the build, not after it.

No plan for the first weeks after go-live. Issues always come up in the first month. Without support in place, small problems turn into workarounds that stay for years. SCM Champs stays on through hypercare and into ongoing support.

None of these are unusual. They are the normal shape of an SAP TM project. The difference is whether they are planned for or discovered.

Want to know which of these apply to your operation? Book an SAP TM assessment with SCM Champs.

Why SCM Champs for SAP TM

We tell you early if SAP TM is not the right fit. The assessment covers whether embedded or standalone suits your landscape, and whether SAP TM or a standalone TMS makes more sense. If the answer is no, you hear it before the project starts.

We check your master data before we agree a timeline. Locations, business partners, transportation lanes and rate tables get reviewed during the assessment, so the most common cause of delay is handled up front instead of surfacing during testing.

We work on transportation and warehouse together. TM and EWM are designed as one process, including the choice between delivery-based integration and Advanced Shipping and Receiving, so loading, dispatch and dock scheduling line up.

We design the integrations before the build, not after. S/4HANA, EWM, finance and carrier connections are scoped during design and tested alongside the build, with monitoring in place for failed messages.

We start from standard SAP TM. Custom development only where there is a real business reason, following SAP clean-core principles, so your upgrades stay straightforward.

We stay on after go-live. Hypercare through the first weeks, then ongoing support as your carriers, lanes and volumes change.
